The College of Engineering in Al-Kharj is committed to protecting the rights of male and female students. Accordingly, the College draws the attention of all students to the importance of complying with the mechanism for submitting excuses for absence from final examinations and requests for lifting denial of entry, as outlined below:
Mechanism for Submitting Excuses
The student shall submit excuses for absence from final examinations and requests for lifting denial of entry to the Student Affairs Unit at the College within one week after the examination time or after the excuse has ceased to exist, and shall complete the form designated for the committee. No other method of submission shall be accepted.
The dates for receiving applications shall be announced through announcements on the main page of the College website and via Blackboard.
Excuses Accepted by the Student Cases Committee
1. Medical Excuses
A sick leave excuse or an excuse for accompanying a first-degree relative patient shall be accepted only if issued through the Ministry of Health website, “Seha Platform.” Please note that acceptable sick leaves are those issued by:
- Government hospitals.
- Private hospitals.
- Government dispensaries or medical centers only. Medical excuses issued by private dispensaries or private medical centers shall not be accepted.
In the case of hospitalization, the excuse shall be accepted if the patient is a first-degree relative. The student must submit an accompanying letter from the Patient Relations Department, certified with the hospital’s official stamp.
2. Death of a First-Degree Relative
- The absence shall not exceed a maximum of three days from the date of death.
- A death report or death certificate must be attached, along with proof of kinship.
- The deceased must be a first-degree relative.
3. Traffic Accidents and Security Detention
- A traffic accident report must be attached, indicating the date and time of the accident, whether issued by the General Department of Traffic or Najm Company.
- In the case of security detention, a certified report from the relevant security authority must be attached.
4. Other Cases
In the case of other compelling excuses not mentioned in the paragraphs above, the student must submit an official letter to the Student Cases Committee explaining the full details of the case. The letter must include the student’s name, the date of submission, and the student’s signature, along with all documents related to the request.
The Excuses Committee has the right to assess the case and either accept or reject the excuse.
Review of Excuses
Excuses shall be reviewed by the Student Cases Committee at the College, where they shall be sorted and then studied in accordance with the regulations referred to above.
The Committee may request the original copy of the excuse submitted by the student and reserves the right to do so.
The Committee’s decision shall be effective. The student has the right to submit an appeal to the Vice Dean for Academic Affairs.
Students shall be notified of the decision to accept the excuse via their university email.
